Position Description
Amazon Frontlines is seeking an Administrative Coordinator for the Partnerships Program to support its administrative and operational management and to promote capacity-building for strategic partners in this area. This person will be part of the Partnerships team and will coordinate closely with other Amazon Frontlines teams to ensure the efficient execution of activities, resource management, and alignment with internal procedures and funding requirements.
Key Responsibilities
Administrative and Financial Management
- Support the planning, implementation, and monitoring of the processes and activities of Amazon Frontlines’ Partnerships Program.
- Assist in managing contracts, grant agreements, reports, and programmatic documentation.
- Coordinate payments, reimbursements, and other financial processes related to the Partnerships Program.
- Support oversight of the efficient use of project budgets implemented by the area.
- Maintain and update databases and administrative files of the Partnerships Program.
- Ensure compliance with organizational policies and donor requirements.
Operational Coordination
- Support the organization and coordination of travel for the Partnerships Program team, including logistics and travel expense management.
- Oversee the implementation of events and programmatic activities, ensuring that planned objectives are met and resources used appropriately.
- Keep programmatic administrative information up to date in internal management systems and digital platforms.
- Facilitate communication between the Partnerships team and the Finance, Development, and Operations teams at Amazon Frontlines to ensure efficient execution of Partnerships initiatives.
Support in the Implementation of the Grant Fund
- Support the initial and operational management of the grant fund in close coordination with the Partnerships Program Lead.
- Participate in the development and tracking of administrative and financial processes related to the implementation of the Grant Fund.
- Assist in the collection and organization of key documentation for the management of the Grant Fund, ensuring compliance with internal and external requirements.
- Coordinate with internal teams and strategic partners to facilitate the implementation of activities related to the Grant Fund.
- Monitor timelines, deliverables, and commitments under the Grant Fund to ensure that initiatives advance in an organized and efficient manner.
Partner Strengthening and Coordination
- Support the Partnerships team in building a model for strengthening administrative capacities and monitoring strategic partners.
- Coordinate with partners and communities to ensure the proper implementation of Partnerships Program activities in the field.
- Support the follow-up of grants and assist partners in preparing the corresponding financial reports.
Candidate Profile
Who you are and what you need to succeed in this role:
- Commitment to the mission and values of Amazon Frontlines.
- Organized and detail-oriented person with the ability to manage multiple tasks simultaneously.
- Minimum of 3 years of experience in program management in NGOs or social projects.
- Basic knowledge in budget management, contract administration, and program financing.
- Proficiency in digital tools (Google Workspace and Microsoft Office) and administrative management platforms.
- Openness and willingness to work in intercultural environments.
- Problem-solving and teamwork skills.
- Experience in operational and administrative roles is an advantage.
- Fluency in Spanish; intermediate to advanced English is a plus.
Physical and Travel Requirements
This position requires frequent travel and work in diverse environments, including occasional trips to remote jungle areas. Team members must be able to travel with reasonable accommodations as needed and be flexible in adapting to the physical challenges of varying travel conditions, including changes in weather, terrain, and jungle ecosystems, as well as limited access to medical care. Travel may involve transport by foot, canoe, car, and/or small aircraft to reach remote areas. You must be able to carry up to 13 kilograms (approximately 28 pounds) of gear during travel and fieldwork.
