Amazon Frontlines (amazonfrontlines.org) is a 501(c)(3) non-profit organization based in the Amazon region of Ecuador. Amazon Frontlines fights the climate crisis by ensuring the protection of the Amazon through Indigenous leadership. Position: Junior Operations Coordinator

Position Description

Amazon Frontlines is seeking a Junior Operations Coordinator to support the organization’s administrative, financial, technological, and logistical activities. This person will work closely with the Operations team to ensure efficient document management, resource administration, supply logistics, and IT support.

Key Responsibilities

Administrative and Accounting Support

  • Assist in the management of administrative documents, including contracts, grant agreements, and other legal documents, using standard templates in coordination with the Operations Coordinator.
  • Support the collection and organization of financial documents for accounting, ensuring integrity and completeness.
  • Assist in vendor management, including collecting banking and tax information (W-8/W-9).
  • Follow up on payments and reimbursements, ensuring alignment with internal policies.
  • Maintain updated records and databases in collaboration with the finance team.
  • Support inventory management for various technological, field, and office equipment maintained by the organization.
  • Assist with inventory verification across different programs.

IT and Equipment Support

  • Manage the inventory of technological equipment, ensuring maintenance and updates according to organizational policies.
  • Coordinate the purchase of IT equipment and other technological resources for staff.
  • Provide basic support for internal IT systems (G-Suite, Drive, Divvy, Adobe, etc.) in coordination with the technical team.
  • Manage the provision and removal of email accounts and other access for new staff.
  • Support the implementation of digital security tools such as VPNs, two-factor authentication, and password managers.
  • Coordinate logistics for IT equipment maintenance under warranty.

Logistics and Infrastructure Support

  • Support the management and maintenance of workspaces, including lease renewal follow-ups.
  • Coordinate the acquisition and distribution of field equipment (tents, sleeping bags, satellite radios, etc.), ensuring availability when needed.
  • Maintain contact with infrastructure service providers, ensuring efficient operation of offices and workspaces.
  • Coordinate logistics for transportation and transfer of equipment and materials between locations.

Emergency and Safety Management Support

  • Ensure availability and maintenance of safety equipment such as first aid kits and satellite phones.
  • Support the implementation of safety measures for staff and organizational assets.

Candidate Profile

Who you are and what you need to succeed in this role:

  • Commitment to the mission and values of Amazon Frontlines.
  • Organized and detail-oriented person with the ability to handle multiple tasks simultaneously.
  • 1–2 years of experience in operational, administrative, logistical, and/or IT support roles.
  • Knowledge of document management, digital tools (G-Suite, Adobe, accounting platforms), and basic IT support.
  • Problem-solving skills and team-oriented mindset.
  • Fluency in Spanish; advanced English is a plus.

Physical and Travel Requirements

This position requires frequent travel and work in diverse environments, including occasional trips to remote jungle areas. Team members must be able to travel with reasonable accommodations as needed and be flexible in adapting to the physical challenges of varying travel conditions, including changes in weather, terrain, and jungle ecosystems, as well as limited access to medical care. Travel may involve transport by foot, canoe, car, and/or small aircraft to reach remote areas. You must be able to carry up to 13 kilograms (approximately 28 pounds) of gear during travel and fieldwork.
